Terms and Conditions for the 8-Day Epic March from Sparta to Thermopylae, Greece – September 2025

 

1. Introduction

By registering for the 8-Day Epic March from Sparta to Thermopylae, you (the Participant) acknowledge and agree to comply with these Terms and Conditions.
This Epic March is organized by Arcadian Trails (the “Organizer”). These terms are intended to govern your participation and limit the responsibilities of the Organizer.

 

2. Participant Requirements

    • Participants must be at least 18 years old at the time of registration.
    • Participants must be in good physical health and capable of completing the 8-day journey, which may involve long hours of walking over varied terrain.
    • The Organizer recommends that participants undergo a medical check-up prior to embarking on the march.

 

3. Registration and Payment

    • All participants must complete the registration process and pay the required fees in full to secure their place on the march.
    • Payments are non-refundable except in cases where the event is canceled by the Organizer (as outlined in section 7).
    • The Organizer reserves the right to refuse entry to any participant who fails to meet registration requirements.

 

4. Health and Safety

    • By registering for the march, participants confirm that they have no pre-existing medical conditions that would affect their ability to complete the march safely.
    • Participants must adhere to the safety guidelines provided by the Organizer, including instructions from event staff, and must follow any safety protocols during the march.
    • It is the responsibility of the Participant to inform the Organizer of any medical conditions, allergies, or special needs that may affect their participation.

 

5. Risks and Liability

    • Participants acknowledge that walking for 8 days over rough and uneven terrain presents physical risks, including but not limited to injury, dehydration, fatigue, and illness.
    • The Organizer does not accept responsibility for any injury, loss, or damage sustained during the march, whether physical, emotional, or material.
    • The Organizer is not liable for accidents, health issues, or any damage to personal property before, during, or after the march.
    • The Organizer is not liable for any delays or changes in the event schedule due to unforeseen circumstances such as weather conditions, strikes, or other factors beyond the Organizer’s control.
    • The Participant agrees to assume full responsibility for their participation in the event and understands the inherent risks involved.

 

6. Insurance

    • The Organizer strongly demands that all participants obtain personal health and travel insurance that covers medical emergencies, trip cancellations, and lost or damaged belongings.
    • The Organizer will not provide insurance coverage for participants and is not responsible for any costs associated with medical treatment or accidents during the march.

 

7. Cancellation or Postponement

    • In the event that the march is canceled by the Organizer due to unforeseen circumstances, participants will be entitled to a full refund of the registration fee.
    • No refunds will be given for cancellations made by the participant after the registration has been processed.

 

8. Code of Conduct

    • Participants must respect the environment, local culture, and fellow participants at all times. Any behavior deemed disruptive, unsafe, or inappropriate by the Organizer may result in immediate expulsion from the event without refund.
    • The Organizer reserves the right to remove any participant from the march if they are found to be under the influence of alcohol or drugs, or if their behavior puts others at risk.
    • Participants are required to follow the directions and guidance of event staff throughout the march.

 

9. Force Majeure

    • The Organizer shall not be held liable for any delay or failure to perform its obligations under these Terms and Conditions if such delay or failure is caused by events beyond the Organizer’s control, including but not limited to natural disasters, pandemics, strikes, or any other force majeure event.

 

10. Media and Photography

    • By registering for the march, participants consent to the use of their image, name, and voice in promotional materials, photographs, and videos taken during the event. Participants understand that these materials may be used by the Organizer for marketing purposes without compensation or further permission.
    • Participants may not take or share photos of other participants without their consent.

 

11. Privacy and Data Protection

    • The Organizer will collect and store personal information provided by participants during the registration process in accordance with applicable data protection laws.
    • Participants’ information will only be used for the purpose of organizing the event and will not be shared with third parties without consent, except where required by law.

 

12. Governing Law

    • These Terms and Conditions shall be governed by and construed in accordance with the laws of Greece.
    • Any disputes arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Greece.

 

13. Acknowledgement 

By registering for the march, you acknowledge that you have read, understood, and agreed to these Terms and Conditions. You confirm that you are participating in the event voluntarily and at your own risk, and you waive any claims against the Organizer for any injury, loss, or damage that may occur during the march.
